You’ve counted the seats, agreed the pick-up time and sorted the route. Then someone asks, “Will all our bags actually fit?”

It’s one of the most common questions we hear at Essex Coach Hire, and for good reason. A coach that seats your whole group is no use if half the suitcases are left on the pavement. Luggage space is one of the most overlooked parts of group travel planning, and it can decide which vehicle you need.

This guide explains how luggage capacity works on coaches and minibuses, what affects it and how to plan so everything arrives with your group.

Why Seat Count Alone Doesn’t Tell You Enough?

Most people choose a coach by passenger numbers. That makes sense, but it only tells half the story. Two groups of 30 can need very different vehicles. A group heading to a one-day event with a few small bags has very different needs from a group flying out for a week with full-sized suitcases.

Luggage space depends on three things: the size of the vehicle, how it is built and how full the seats are. On larger coaches, bags usually go into underfloor storage beneath the passenger deck. On smaller vehicles such as minibuses and midi coaches, there’s less dedicated storage, so bags often share space at the rear of the cabin.

So the question isn’t only “How many seats do we need?” It’s “How many seats and how many bags?”

How Luggage Capacity Varies Across Our Fleet?

Every vehicle in our fleet handles luggage differently. Here is a general guide to what to expect. For exact specifications on your date, we’ll always confirm when we prepare your quote.

Minibuses and Small Coaches

Our 16 seater mini coach and 19 seater VIP coach suit smaller groups, executive travel and short breaks. Storage is more limited, so they work best for hand luggage, overnight bags and a modest number of cases. A full load of 16 or 19 passengers with large suitcases may need a bigger vehicle.

Midi Coaches

The 22 seater midi coach and 27 seater midi coach offer more space, which makes them a popular choice for medium-sized groups. They are a good balance for day trips, weddings and short stays where each person brings one bag.

Full-Size Executive Coaches

The 35 seater VIP exec coach and 37 seater exec coach are the best choice for luggage-heavy journeys. Underfloor storage keeps bags separate from passengers, so the cabin stays comfortable and the aisle stays clear.

A simple rule of thumb: the fuller your seat count and the bigger your bags, the more likely you are to need the next size up.

The Bags You’re Carrying Matter as Much as the Number

Not all luggage takes up the same space. When you tell us what your group is bringing, it helps to separate it into types:

  • Hand luggage and small bags: Rucksacks, handbags and cabin cases usually fit on the luggage racks or at passengers’ feet.
  • Standard suitcases: Medium and large cases need proper storage space and are what usually decides vehicle size.
  • Oversized or awkward items: Golf bags, sports kit, musical instruments, pushchairs, wheelchairs and equipment cases all take up more room than their weight suggests.
  • Event kit: Banners, display stands, boxes of promotional material and catering items need careful loading.

If you’re travelling with anything unusual, tell us when you request a quote. It’s far easier to arrange the right vehicle in advance than to solve the problem on the day.

Luggage Planning by Journey Type

Airport Transfers

Airport runs are where luggage matters most. Passengers usually bring checked suitcases as well as cabin bags, and a group of 20 people can easily bring 20 large cases or more.

If you’re planning a group airport transfer, count the suitcases as well as the passengers. We cover Heathrow, Gatwick, Stansted, Luton and London City, and our drivers know where to load and unload at each terminal. For flights, we often suggest a larger vehicle than the seat count alone would require. Extra space makes loading quicker and keeps the cabin free of bags.

Corporate Travel

Business groups often travel with laptops, presentation kit and overnight bags. For conferences, away days and corporate coach hire, luggage is usually lighter, but equipment can be bulky. If you’re running a corporate event or a financial roadshow, tell us about any display materials or boxes in advance so we can plan the loading.

Days Out and Leisure Trips

Theme park trips, shopping days and theatre and concert outings usually involve light bags. Shopping trips are the exception. Passengers come back with more than they left with, so spare storage on the return leg is worth considering.

Sightseeing and Multi-Day Tours

For sightseeing tours with overnight stays, each passenger typically brings a full suitcase. A larger coach with underfloor storage is the safer choice.

Events, Festivals and Film Work

Events bring their own luggage challenges. Festival-goers bring camping kit and chairs, while sports groups bring bags and equipment. Our events coach hire and music events services are planned around this kind of kit. For crews and productions, our film unit coach hire is designed for teams moving people and equipment together.

Seven Practical Tips for Packing a Coach

A little preparation makes loading faster and the journey smoother.

  1. Count the bags, not just the people. Give us both numbers when you request a quote.
  2. Give a rough size for each bag. “Large suitcases” and “cabin bags” mean very different things to a loader.
  3. Declare oversized items early. Pushchairs, sports gear and instruments need planning.
  4. Pack soft bags where you can. Holdalls and duffel bags fit more easily around hard cases.
  5. Label every item. Name tags save confusion at the destination.
  6. Keep essentials with you. Passports, medication, chargers and valuables should stay in hand luggage.
  7. Arrive on time for loading. A well-organised group loads in minutes. A late one can delay everyone.

Frequently Asked Questions

How many suitcases can a coach carry?

It depends on the vehicle. Smaller minibuses have limited storage, while full-size coaches have underfloor space for far more. The number also drops as the seats fill up, so tell us how many passengers and bags you have and we’ll recommend the right size. You can also browse our FAQs for more answers.

Is luggage included in the price of coach hire?

Standard luggage for your group is normally part of the journey. If you’re bringing oversized or unusual items, let us know when you request a quote so we can confirm everything and avoid any surprises.

Can I bring a pushchair, wheelchair or sports equipment?

In most cases, yes. We need to know in advance so we can plan the space. Mobility aids, pushchairs, golf bags and instruments all need careful loading, and the right vehicle makes this much easier.

What if my group has more luggage than seats suggest?

This is common, especially on airport and multi-day trips. We’d usually recommend a larger coach, or in some cases a second vehicle, so that bags and passengers are both comfortable.

Do your drivers help with loading luggage?

Our professional, DBS-checked drivers will help load and unload bags safely. For heavy or specialist equipment, please tell us in advance so we can plan accordingly.

Can I hire a coach for an airport transfer with a lot of luggage?

Yes. We run group airport transfers to all major UK airports. Give us your passenger and suitcase numbers and we’ll match you with the right vehicle.

How far in advance should I book if I have a lot of luggage?

As early as you can, particularly for peak dates. Larger vehicles with more storage can book up quickly. We do accommodate last-minute requests where availability allows, so it’s always worth getting in touch.
